What is a Toiletly Operator?

Operators are organisations responsible for public toilets — such as a district council, transport company, educational establishment, or charity. When you claim a toilet, it is clearly shown on the map and toilet page as being operated by your organisation, and only your authorised team can edit those facilities.

Operator registration is intended as a lightweight administrative relationship to help organisations maintain accurate public toilet information on the Toiletly platform.

Register as an operator
Create a Toiletly account using a valid organisation email address (for example @gov.uk or your company domain). Complete your operator profile in My Toilets with your organisation details. Please ensure you have full permission from your organisation before registering.

Claim the toilets you operate
Find your facilities on the map and submit a claim. Each claim is reviewed by our team before it goes live. Once approved, the toilet is linked to your organisation and shown as operated by you.

Keep information up to date
After each claim is processed, you can edit opening hours, accessibility features, and other details directly — without waiting for moderation. Only users linked to your operator account can make these edits.

Respond to issue reports
Members of the public can report problems — such as cleanliness, accessibility, or out-of-hours access — on toilets you operate. Approved reports are sent to your organisation so you can take action.

Add your team
Once registered, owners and managers can grant colleagues permission to edit toilets — assigning staff or manager roles so your team can help maintain accurate records across your estate.

Registration requires a valid organisation email address. Anyone registering should ensure they have the full permission of their organisation before signing up. If a registration appears unauthorised, your organisation can contact us immediately.

Ready to manage your toilets?

Follow these steps to register and claim your first facility.

  1. Create a Toiletly account using your organisation email address (for example [email protected]).
  2. Verify your email so you can access account settings.
  3. Register as an operator in My Toilets — enter your organisation name, type (council, business, charity, or other), and contact details.
  4. Find a toilet on the map that your organisation operates and use the Claim button on its page (owners and managers can submit claims).
  5. Wait for claim approval — our team reviews each claim to confirm your organisation operates that facility.
  6. Start managing — once approved, edit the toilet directly and respond to community issue reports.

Who can register as an operator?

Any organisation responsible for public toilets can register — for example a local council, transport authority, park service, or charity running community facilities. You should register only if you have authority to manage those toilets on behalf of your organisation.

What email address should I use?

Use your official organisation email address, such as [email protected] or your company's domain. Personal addresses (Gmail, Outlook, and similar) are not suitable for operator accounts.

How do I claim a toilet?

Once you have registered as an operator, open the toilet on the map and use the Claim button on its page. Claims are reviewed by our team before the toilet is linked to your organisation. Only owners and managers can submit claims.

How long does claim approval take?

We aim to review claims promptly, though times may vary depending on volume. You will be notified once your claim has been approved or if we need more information.

Who can edit toilets my organisation operates?

Only users linked to your operator account can edit claimed toilets. Other Toiletly users can still view the listing and report issues, but they cannot change operator-managed details.

How do issue reports work?

Members of the public can report problems — such as cleanliness, accessibility, or access issues — on toilets you operate. Reports are moderated first; once approved, a notification is sent to your organisation's contact email so you can take action.

Can I add colleagues to help manage our toilets?

Yes. Once registered, owners and managers can grant colleagues permission to edit your toilets by assigning staff or manager roles. To add a colleague, please contact us via the contact form.

Is there a cost to register?

No. Operator registration, claiming toilets, and managing your facilities on Toiletly are completely free.

Can I register and claim toilets on the Toiletly app?

No. The Toiletly app is a community-driven platform for finding and contributing to public toilets. While we encourage community participation, operator registration and management are only available through the website. We recommend using the desktop version of Toiletly for operator management.

Why do some features appear on the website before the app?

Toiletly's website and mobile apps are developed together, but app updates are subject to additional review and approval processes by the Apple App Store and Google Play Store. As a result, new operator features or changes may sometimes appear on the website before they are available in the apps. The website should always be considered the primary and most up-to-date platform for operator management features.

Can operators and Toiletly cross-promote each other?

We believe the best operator relationships are collaborative and mutually beneficial. While there is no requirement for operators to publicly promote Toiletly, we're always happy to work together on awareness where it makes sense. We may occasionally feature new operator partnerships in a blog article or on our social media channels to help highlight accessible toilet provision and encourage public engagement. Equally, operators such as councils, venues, or transport providers are welcome to mention Toiletly through their own websites, newsletters, or social media if they find value in the platform. We simply appreciate a quick heads-up before any large-scale publicity or campaigns, particularly where significant traffic may be expected, so we can ensure server capacity and support resources are prepared accordingly.

What is the difference between an operator and a partner?

Operators are organisations responsible for public toilets (such as councils) who claim and manage facilities on the map. Partners are businesses that open their customer toilets to the public under agreed terms. An organisation could be both in some cases.

Does registering as an operator create a contract or commercial commitment?

No. Registering as an operator simply allows your organisation to manage and maintain accurate information about toilets you operate on the Toiletly platform. There is no requirement to purchase services, advertise, or enter into a commercial agreement.

Does claiming a toilet transfer ownership or control of the listing?

No. Toiletly remains an independent public information platform. Claiming a toilet simply allows the responsible organisation to manage the accuracy of operational details such as opening hours, accessibility information, and temporary closures.

Can toilets still be reported or reviewed by the public after they are claimed?

Yes. Toiletly remains community-driven. Members of the public can continue to report issues or submit feedback about claimed toilets. However, operator-managed details themselves cannot be edited directly by the public.

How is information moderated?

Toiletly operates a moderation process for public submissions, edits, reviews, and issue reports. Content is reviewed before publication where appropriate, helping reduce spam, vandalism, misinformation, or abusive content.

What information about our organisation is shown publicly?

Only limited operator information is displayed publicly, such as the organisation name associated with a claimed toilet where relevant. Internal staff accounts, email addresses, and administrative details are never published publicly.

Can our organisation remove a toilet from Toiletly?

Toiletly aims to maintain a comprehensive public record of publicly accessible toilets for the benefit of users. Operators may request corrections, updates, or closure notices, but public facilities are not normally removed simply because they are claimed or managed by an organisation.

What happens if a toilet closes temporarily or permanently?

Operators can update toilets to reflect temporary closures, restricted access, refurbishment works, or permanent closure. This helps ensure members of the public receive accurate and up-to-date information.

Is Toiletly politically neutral?

Yes. Toiletly is an independent platform focused on improving access to public toilet information. We work with organisations of all types, including councils, charities, transport providers, businesses, and community groups, without political affiliation.

Does Toiletly replace existing council websites or maps?

No. Toiletly is intended to complement existing public information channels, not replace them. Many organisations may choose to continue maintaining their own webpages, GIS systems, or community toilet scheme information alongside Toiletly.

Does Toiletly charge the public to access toilet information?

No. Toiletly is free for members of the public to use when finding and viewing toilets.

Do operators need specialist training to use the platform?

No. The operator system is designed to be straightforward and accessible. We are also happy to provide guidance or assistance where required.

How does Toiletly handle accessibility information?

Toiletly allows operators and the community to provide accessibility-related information such as step-free access, RADAR key requirements, baby changing facilities, and other relevant details. Our aim is to help users make informed decisions before travelling.

What personal data does Toiletly collect?

Toiletly is designed to minimise personal data collection. Standard user accounts typically include only a display name, email address, and optional profile image. Operator accounts additionally require an official organisation email address for verification and communication purposes.

Is Toiletly registered with the ICO?

Yes. Toiletly is registered with the UK Information Commissioner's Office (ICO) and operates in accordance with applicable UK data protection legislation.

Does Toiletly share operator or user data with third parties?

No. Toiletly does not sell personal data. Information is processed only as necessary to operate the platform, manage operator accounts, moderate content, and maintain service functionality. Further details are available in our Privacy Policy.

Does becoming an operator create legal responsibility for Toiletly content?

No. Toiletly remains responsible for operating and moderating the platform itself. Operator organisations are responsible only for the accuracy of information they choose to manage or publish through their own operator account.

Does registering as an operator require a procurement process?

No. Toiletly operator registration is free of charge and does not require the purchase of software, services, or advertising. Organisations should follow their own internal governance procedures where appropriate.

Does Toiletly require exclusivity?

No. Organisations remain free to publish toilet information through their own websites, GIS systems, maps, or other public information platforms alongside Toiletly.

Can an organisation leave the operator scheme later?

Yes. Operator accounts can request removal from the scheme at any time. Public toilet listings themselves may remain visible on Toiletly where they relate to publicly accessible facilities.
