Toiletly is a public toilet finding service designed to help parents with toddlers, people with disabilities, and the wider community discover accessible facilities.

2. Scope of This Policy
This Privacy Policy applies to:
- The Toiletly Android app (available on Google Play)
 - The Toiletly iOS app (available on the Apple App Store)
 - The Toiletly website at toiletly.app
 
Together these are referred to as “the Services”.
3. Information We Collect
a. Account Information
- Name / Display Name
 - Email Address
 - Password (encrypted)
 - Profile photo (optional)
 - Profile settings and preferences
 
Creating an account is optional. You can browse toilets without signing in.
b. Usage & Contribution Data
- Toilet submissions and edits (location, accessibility, opening times, etc.)
 - Photos you upload (toilets or profile)
 - Confirmations & votes
 - Gamification data (points, levels, badges, contributions)
 
Uploaded photos are publicly visible and intended to represent shared facilities, not personal content. Please avoid uploading identifiable images of people.
c. Technical Information
- Log data (IP address, browser, device type, OS, timestamps)
 - Cookies and local storage (authentication, preferences, analytics)
 
d. Analytics & Crash Data
We use Google Analytics 4 and Firebase Crashlytics on Android and iOS to understand usage patterns and improve reliability. These services may collect anonymised device identifiers, crash traces, and general event data. We do not use these to personally identify you.
e. Map Data
We display maps using OpenStreetMap and Google Maps. These services may process limited technical data such as your IP address or approximate location to load map tiles.
f. App Permissions
Toiletly only requests permissions necessary for its core and optional features.
Android
- Location (approximate and precise) – used to show nearby toilets and to tag new toilets when adding. Processed only while the app is active; no history is stored.
 - Camera – used when taking a photo of a toilet or updating your profile picture.
 - Photos and media (READ_MEDIA_IMAGES / READ_EXTERNAL_STORAGE) – allows you to choose an existing photo from your gallery.
 - Network access – required to download toilet listings, map data, and submit updates.
 - Network state and wake permissions – used by Flutter and mapping libraries for connectivity and keeping the screen active during map use.
 
iOS
- Location (When In Use) – used to show toilets near your current position and when adding new ones.
 - Camera – used to capture toilet photos or update your profile picture.
 - Photo Library – used to select images from your device gallery.
 - Network access – required to load maps and submit updates.
 
Permissions are optional except for basic network access. You can revoke them anytime in your device settings.
4. How We Use Your Information
- Service delivery – Provide listings, maps, and account functionality.
 - Community contributions – Manage submissions, confirmations, and XP.
 - Safety & moderation – Review content and prevent misuse.
 - Analytics & performance – Improve usability and stability.
 - Legal compliance – Meet UK and international obligations.
 - Communication – Service-related emails (e.g. password reset); no marketing without consent.
 
5. Legal Bases for Processing
Under UK GDPR and equivalent frameworks:
- Consent – for optional permissions and analytics.
 - Contract – to provide Toiletly when you create an account.
 - Legitimate Interests – improving the service, ensuring security.
 - Legal Obligations – when required by law.
 
6. How We Share Your Data
We share data only when necessary:
- With other users (e.g. your display name and any photos you upload)
 - With service providers (hosting, analytics, maps)
 - With authorities when legally required
 
We never sell your personal data.
7. Data Retention
- Account data retained while active
 - Contribution data (toilets, photos) may remain in anonymised form
 - Analytics retained up to 26 months (Google default)
 - Moderation records retained up to 12 months

 - Restrict or object to processing

Toiletly is not intended for children under 13. If you believe a child has submitted personal data, please contact us.

We use encryption, secure servers (SSL/TLS), and access controls.
No system is entirely secure; please protect your credentials carefully.

 - Analytics cookies – via Google Analytics 4; optional where consent applies

12. International Transfers
Data may be processed outside the UK by service providers (e.g. Google, Cloudflare).
We rely on Standard Contractual Clauses and other safeguards to protect your information.
13. Platform Compliance
Google Play (Android)
Complies with Google Play’s User Data and Data Safety policies.
All declared permissions are used solely for features described above.
Apple App Store (iOS)
Aligned with Apple’s App Privacy Details and App Tracking Transparency requirements.
All data categories (account info, photos, location, analytics) are declared in App Store Connect.

We may update this Privacy Policy periodically.
Significant updates will be communicated in-app and via our website.
15. International Users
Our services are operated from the United Kingdom.
By using Toiletly outside the UK, you acknowledge processing may occur in the UK or by providers abroad.
We apply the same privacy standards globally.
